How we use your information
This explains what happens to the information you give us when you apply to rent one of our flats.
Who we are
The landlords are Juan Carlos Soto and Ximena Rohde, letting their own flats in Edinburgh under the name Rohde Sisters. We are responsible for your information. Contact us at [email protected].
What we collect and why
- The answers in your application: contact details, who would live in the flat, your work or study status, your move date, and a previous landlord’s details.
- If we take your application forward, the documents we then ask for: ID, proof of address and proof that you can afford the rent.
We use this only to decide whether to offer you a tenancy, and to contact your previous landlord for a reference if we’d like to go ahead. We rely on your consent and on taking steps, at your request, towards entering a tenancy.
Who can see it
Only the two of us. Your information is stored securely with our service providers (Supabase for the application, Cloudflare for the website, and Resend for email), mainly in the UK and EU. We never sell it or share it with anyone else, except your previous landlord when we ask for a reference.
How long we keep it
If your application is unsuccessful, we delete it within six months of the flat being let. If you become our tenant, we keep what we need for the tenancy and as the law requires.
Your rights
You can ask to see, correct or delete your information, or withdraw your application, at any time by emailing [email protected]. If you’re unhappy with how we handle it, you can complain to the Information Commissioner’s Office (ico.org.uk).
